Prepaid Credit Policy

This Prepaid Credit Policy explains how prepaid credit works for DataVec's self-serve services. It
supplements, and is incorporated into, our Terms of Service and
Refund & Cancellation Policy. Capitalized terms not defined here have the meaning given in
the Terms. DataVec is the merchant of record for these transactions.
1. How prepaid credit works
- Pay first, run on balance. Self-serve accounts operate on prepaid credit: you add credit to
your account before using it, and your services draw that balance down daily based on the VM-time
they actually use, at the size's rate shown at checkout. There is no invoice to pay later — your
balance is the whole relationship.
- The $1 signup charge becomes credit. The one-time signup verification charge is applied to your
account as opening credit — it is spendable, not a fee.
- Creating a service requires credit. Launching a new service requires enough balance to cover at
least one full billing cycle at that service's plan price. If your balance is short, the console
tells you how much more you need.
- Adding credit. Add credit any time from the console (Account → Billing → Add credit).
Payments are processed by Stripe; your balance updates as soon as the payment completes.
2. Running low, and what happens at zero
We never bill you past your balance. Instead:
- Low-balance warnings. When your balance falls below about 7 days of your current usage, we
email you. Below about 2 days, we email you again, urgently.
- Suspension at zero. When your balance reaches zero, your services are suspended: their
machines are powered off, and your data remains intact. Nothing is deleted at suspension.
- Reactivation is automatic. Add credit and your suspended services power back on
automatically — no support ticket, no waiting.
- Decommissioning after 21 days. A service left suspended with a zero balance for 21
consecutive days is decommissioned: its machines are destroyed and its data is deleted.
Export anything you need before then. Because credit is prepaid, decommissioning leaves you owing
nothing — there is no outstanding balance and no collections.
3. Refunds and expiry
- Credit does not expire while your account is open.
- Credit is non-refundable by default, but if you're done with DataVec, contact us at
billing@datavec.com and we will refund your unused purchased credit
balance to your original payment method (the $1 signup verification credit and any promotional
credit are excluded). Refunds are processed to the payment method on file via Stripe.
- Credit has no cash value except as described above, and cannot be transferred between accounts.
4. Enterprise / invoice billing
Vetted and enterprise customers may instead be billed by invoice under a separate agreement. If your
account is on invoice billing, this policy does not apply to you — see your agreement and the
Terms of Service.
